Refund and Returns Policy
This Returns Policy applies to all purchases of commercial gym equipment from Xercise Fitness Consulting (“we,” “us,” or “our”). Due to the nature of commercial-grade fitness equipment, our returns process differs from standard retail practices. Please read this policy carefully before making a purchase.
1. Limited Returns:
We understand that you may need to return equipment in certain circumstances. However, due to the cost and logistics associated with handling commercial-grade equipment, returns are generally not accepted unless one or more of the following conditions apply:
- Defective Equipment: If the equipment is defective upon delivery or fails due to a manufacturing defect within the manufacturer’s warranty period, we will accept a return for repair, replacement, or refund (at our discretion).
- Shipping Damage: If the equipment is damaged during shipping and the damage is documented upon receipt of the shipment, we will accept a return for replacement or refund (at our discretion). The customer has 48 hours to notify us of shipping damage.
- Incorrect Item Shipped: If the equipment received does not match the equipment that was ordered, we will accept a return for the correct item.
2. Conditions for Return:
To be eligible for a return under the circumstances listed above:
- You must notify us within the applicable timeframe (48 hours for shipping damage, within the manufacturer’s warranty period for defects, 7 days for incorrect item shipped) from the date of delivery.
- The equipment must be in its original packaging (if applicable) and in the same condition as it was received.
- All included parts and accessories must be returned with the equipment.
- You must provide the original proof of purchase (invoice or receipt).
- You must obtain a Return Authorization (RA) number from us prior to shipping any equipment back to us. Returns without an RA number may be refused.
- The customer is responsible for the cost of returning the equipment.
3. Return Process:
- Notification: Contact us via email at info[at]xercisefitnessconsulting.com or by phone at 877-GYM-FIXX within the specified timeframe, providing your order number, details of the issue, and any supporting photos or videos.
- Return Authorization: If your return is approved, we will provide you with a Return Authorization (RA) number and instructions for returning the equipment.
- Packaging: Carefully repack the equipment in its original packaging (if possible) or equivalent packaging to prevent damage during return shipping. Include all parts and accessories.
- Shipping: Ship the equipment back to the address we provide with the RA. The customer is responsible for return shipping costs and ensuring the equipment arrives in good condition.
- Inspection: Upon receipt, we will inspect the returned equipment.
- Resolution:
- If the return is due to a defect, we will, at our discretion, either repair the equipment, replace it with a new unit, or issue a refund for the purchase price.
- If the return is due to shipping damage or the incorrect item shipped, we will either replace the equipment or issue a full refund.
4. Non-Returnable Items:
The following items are generally not eligible for return:
- Equipment damaged due to misuse, negligence, or improper installation.
- Equipment with missing parts or accessories (unless it was received that way).
- Equipment that has been used and shows signs of wear and tear, other than minor defects covered by warranty.
- Custom orders and special orders of equipment.
- Items sold “as is” or final sale.
5. Restocking Fee
Returns not covered by the limited returns conditions above may, at our discretion, be accepted, subject to a restocking fee, which can range from 15% to 30% of the purchase price. The restocking fee is to cover the cost of repackaging and handling the return of the item.
6. Refunds
Refunds will be issued using the same payment method used to make the original purchase once the returned equipment has been received, inspected and approved. Please note that it may take some time for your refund to be processed by your payment provider.
7. Warranty
This returns policy does not affect your rights under any applicable manufacturer’s warranty. Please refer to the warranty documents provided with the equipment for details of the warranty coverage.
